New client setup

Set up your receptionist

About ten minutes. We build your line from these answers and text you when it is ready, usually the same day. Your existing business number does not change.

Who you are

How the receptionist introduces the business and the person behind it.

Exactly as it appears on your trucks and invoices.

The name callers hear. Avery unless you want another.

Finishes the sentence “a ___ company”. Two or three words, not the service list.

Where the business is based, not every town you serve. Callers hear “a plumbing company in Raleigh, North Carolina.”

The person callers are connected to.

As in “Sam, the owner and lead technician.”

The briefing

Write it the way you would brief a new receptionist on their first morning. Plain sentences; the receptionist paraphrases them.

Everything you want booked, then anything you explicitly don't do.

Callers from outside get their details taken for you to decide.

Include same-day or 24/7 if that is true.

When a caller asks for a real person, or says it cannot wait

Free estimates? Trip fee? Standing discounts? What may the receptionist quote? Leave blank and it says a representative will go over pricing.

What the caller is told to expect.

How much notice the tech needs.

Days you do not book

First appointment 8 a.m., no new installs on Fridays, and so on.

Languages

Numbers and calendar

What we wire up. Your existing number does not change and we never touch your carrier account.

First three digits of your business number. The new line is bought in it so it looks local.

Usually the tech's cell. Rings when a caller asks for a person.

A short summary after every call: who, what they need, what was booked.

Optional. Fuller version with the transcript.

Bookings

The Google account or calendar the visits should land on.

After this form

Four steps, one afternoon.

  1. We buy the number and build the receptionist from these answers, usually within the hour.
  2. You share the calendar (if you chose Google) with minerva-demos@minerva-508316.iam.gserviceaccount.com and pick “Make changes to events”.
  3. You forward unanswered calls from your existing number to the new line. We text you the exact dial codes for your carrier; it takes a minute and can be undone the same way.
  4. You get to see the AI receptionist in action. We place a test call together and your first after-call text arrives before we hang up.

We give this to each new client so only real setups come through.
